SEPARATION NOTICE ADMINISTRATION
 

Currently, 22 states have passed new legislation requiring employers to issue a “separation notice” or specific state form to employees on the day of separation to help determine the proper distribution of Unemployment Benefits. Information required ranges from basic employment and separation data to more specific and sensitive information including SSN. Non-compliance can result in fines of up to 50% of UI benefits collected per employee. ValeU Group will manage this process and administer these notices on behalf of our clients with services as follows:

I. NOTICE ADMINISTRATION

• ValeU will issue separation notices to all separated employees (deadline differs by state)
• Notices will be issued electronically or USPS mail
• ValeU will record and track all notices issued
• ValeU will submit notices directly to state agencies (if required)
• ValeU will provide detailed reports by state and date issued
• Include additional states as new legislation is passed
• Provide back-up and assist with State Audits regarding Separation Notices
• Clients will have access to all separation forms

II. DATA REQUIREMENTS

• ValeU will provide Data Requirements (“Data Specs”)
• Review any similar existing data provided to 3rd parties for potential use.
• Client will transfer data in a mutually agreed upon format and frequency (Daily is preferred)
• We will provide SFTP credentials for client data upload.
• We will test data to ensure accuracy.
• Record retention: Standard 8 years, custom purging upon client request.

III. DATA SECURITY

• End to End Resting Encryption.
• Certified: Soc 1/ Soc 2 / SAS 70.
• Routine Vulnerability Assessments.
• Proactive Penetration Testing.
• 30+ years without a breach.
